For English Language Students

The conditions below set out the terms and conditions between you, the student, and Language Link London.

Minimum age for students on General English programmes is 16 years old.

Medical, travel and course insurance

It is highly recommended that you get comprehensive travel, repatriation, medical and course insurance to cover your period of international study. School fees are not refundable or transferable so you should look for comprehensive insurance that covers reimbursement of fees.

Cancellation Terms and Conditions

SCHOOL FEES ARE NOT REFUNDABLE OR TRANSFERABLE.

All fees are payable in advance. If you wish to cancel, change or postpone your booking, we require ten days’ notice in writing. Where less than ten days’ notice is given, full fees are due and no refund is available (with the exception of accommodation fees).

Homestay and Shared House Accommodation

Seven days’ notice is required in order to cancel accommodation. Where less than seven days’ notice is given there will be a charge equivalent to two weeks of the accommodation. The remainder will be refunded less the deposit.

Residential Accommodation

The cancellation policy for this type of accommodation differs depending on the residence selected.

You will be informed of the applicable cancellation policy when your residential option is confirmed.

Cancellations and refunds once you have started your course

If you decide to cancel your booking shortly before you arrive, the following fees will be payable:

Cancellation up to 7 days before start date:
Course fees: Full refund
Homestay fees: Full refund less deposit
Residence fees: 1 week of accommodation fees payable

Cancellation fewer than 7 days before start date:
Course fees: No refund
Homestay fees: 2 weeks of accommodation fees payable
Residence fees: 2 weeks of accommodation fees payable

Cancellation on or after start date:
Course fees: No refund
Homestay fees: 2 weeks of accommodation fees payable
Residence fees: 3 weeks of accommodation fees payable

Please note changes or cancellations on or after arrival require 7 days written notice. When arranging student accommodation Language Link is acting in good faith and as the supplier’s agent. We do not accept any responsibility for the acts/defaults of third parties.

Cancellations and refunds where the School terminates the contract

The School reserves the right to terminate the booking without refund, where the students’ acts or omissions are such that it would be unreasonable for them to continue their studies in the School. Please note that a student’s tuition may be terminated at any point during its duration if a student is found not to have leave to remain in the UK or breeches the conditions of his/her leave.

Attendance and students’ holidays

Students are expected to attend lessons regularly and on time. Students are not entitled to refunds if they are late, absent, or leave before the course ends. Students attending courses of 36 or more weeks duration may take a holiday of four weeks without losing their course fee for the period providing at least four weeks’ notice is given.

Course Availability and Cancellation

Every attempt will be made to place you on the course of your choice. However, Language Link London cannot guarantee a particular course and timetable until you have taken an entry test and had an interview. In the event of insufficient applications for a course, the school reserves the right to offer an alternative course of equal value.

Definition of one lesson

Each lesson or study hour consists of 50 minutes of study time.

British Immigration Regulations

If you are a non-EU applicant, you may require a student visa in order to study at the school. It is your responsibility to obtain this visa and Language Link London is not responsible if a student obtains the wrong visa. If you require a visa and arrive without one, you will not be eligible to attend the school.

  • Language Link London will provide the documentation required for students to apply for study visas where applicable.
  • Documentation in support of study visa applications will only be provided upon receipt of full fees.
  • The school has a legal obligation to collate and maintain application information, as well as passport and visa data, and inform the Immigration Authorities of those students whose attendance falls below the standard required by their visa.
  • If a visa application is unsuccessful, yet all documentation was correctly submitted, Language Link London needs to be informed and a copy of the visa refusal letter should be sent to the admissions team. A refund will be issued when we receive this document. We will also keep one week of accommodation fees if we are notified fewer than 10 days from the start of the course.

Payment

Payment must be received in full four weeks before the first day of your course. If your course starts in less than two weeks payment must be received in full at the time of booking Language Link London is not responsible for any bank charges incurred by international bank transfer. Please remember to quote your student number when making your payment.

No part of your booking is confirmed until payment is received in full.

You may pay by:

  • Bank Transfer in £ sterling. Please note that International Bank Transfers may incur a fee.
  • Credit and Debit Cards
  • Online by booking through our website

Your total course fees are made up of the following:

  • Course fee
  • Accommodation fee (if applicable)
  • Bank transfer fee (if applicable)
  • Airport transfer fee (if applicable)
Public Holidays

Public and school holidays in 2016 are: 1 January, 25 March, 28 March, 2 May, 30 May, 29 August, 26 December and 27 December. There are no refunds or discounts for General English classes missed when a course includes a Public Holiday.

Special Offers

Course discounts are valid from the date of advertisement. Discounts cannot be applied retrospectively to existing bookings.

Accommodation

Accommodation booking date

  • Accommodation is booked and charged for from Sunday to Sunday or Saturday to Saturday for the duration of your course.
  • If you wish to extend your room, please advise the Accommodation team at Dukes Road London. We will endeavour to arrange an extension but, as there are a limited number of rooms, it may not always be possible. On some occasions extensions may require a change of room.
  • If two students come together a shared room can be booked, otherwise shared room accommodation will be booked in the shared room option.
Smoking in Homestays

Nowadays many people do not smoke and homestay families do prefer no smoking within their own. Therefore, it there might be fewer options if students wish to smoke in the homestay house. If you are happy to smoke outside in the host’s home, you can indicate this on your enrolment form.

Pets in Homestays

Many British homes have pets such as a cat or a dog. If you prefer not to be accommodated in a home with an animal, please indicate this on the enrolment form and the accommodation team will do their best to accommodate any requirement.

Special requirements

The accommodation team will always try their best to address any special requests with your accommodation application. However, fulfilling them is not always guaranteed but we will let you know. Booking as early as possible gives the accommodation team the greatest chance to accommodation your needs.

Arriving at your Homestay

You are advised to contact your host with your arrival time prior to your arrival and you can do this by telephone, email or letter. This way you can be sure that your host will be ready to welcome you.

Changes and cancellations

If you are unhappy with your homestay accommodation, the school will relocate you to a new family as soon as possible.

Please note: because of death, illness or other unforeseen circumstances it may be necessary to change your accommodation either before you arrive or once you are here and the school reserves the right to do this. We guarantee to provide accommodation for the period you have booked but not necessarily with the same family for the whole period.

Please note: A good student insurance policy will refund the remaining fees if a student has to go home early for a medical or other serious reason. We strongly advise all students to take out insurance.

For Teacher Training Students

Minimum age for students on Teacher Training Programmes is 18 years old.

Making a payment

If you are accepted for a course, our confirmation letter will inform you whether you need to pay a deposit immediately in order to reserve a place. If this is the case we cannot reserve a place until the deposit has been paid. In all cases course fees should normally be paid at least three weeks before the start of the course. If you have not paid your fees by that date, you may lose your place.

Deposits may be transferred to the same course running at a later date at the discretion of the school and with good notice.

In the case of cancellations made later than three weeks before the start of the course, requests for a refund can only be considered if we have been able to fill the place. Fees refunded will be less an administration fee of £220.

Please note that in the event of a candidate withdrawing from the course once it has started, Language Link London cannot refund fees or offer a place on a subsequent course without payment of further fees.

Language Link London reserves the right to postpone or cancel any course due to insufficient student numbers or due to unforeseen circumstances. In this event the candidate will be given a full refund.

Insurance cover

School fees are not refundable or transferable so we recommend you take out comprehensive insurance that covers reimbursement of course fees.

Selection criteria, assessment and grades

Language Link London cannot enter into correspondence or discussion concerning the reasons for an interview or a place on a course not having been offered.

All tutors on the Cambridge ESOL CELTA courses collaborate on the internal assessments and decisions are unanimous.

In all matters relating to selection and assessment the decision of the Director of Studies is final.

Making a payment

You may pay by:

  • Bank Transfer in £ sterling. Please note that International Bank Transfers and Bankers Draft payments will incur a £15 charge.
  • Credit and Debit Cards
  • Online by booking through our website
  • In cash by coming to the School in person.

Your total course fees are made up of the following:

Accommodation

Accommodation booking date

EU Funding – Erasmus +

All fees must be paid in full at least two weeks prior to the commencement of any course. Please note that acceptance on the course does not mean a place has been reserved for you until a deposit has been paid.

Classes missed cannot be credited.

Changes and cancellations

Any cancellation must be received in writing at least three weeks before the course start date. The cancellation fee is 50 Euros. If funding is refused there is no cancellation fee. Documents of refusal will be required.

After a course has commenced, fees or any part thereof are non-refundable and non- transferable. We therefore strongly advise all applicants to take out insurance in case of illness.

Language Link reserves the right to cancel a course if there are insufficient applicants. A minimum of 3 weeks’ notice will be given.

For Junior Course Students

These terms and conditions apply only to courses designed for Junior students below the age of 16 that are detailed in our separate brochure. Please see separate terms and conditions for adult courses carried out at Language Link London.

Travel

All travel details must be finalised at least 14 days prior to the start of the course to guarantee an arranged airport transfer.

Conditions

All course places will be confirmed when either the deposit or full fees have been received. Payment of the deposit fee is regarded as acceptance of the booking terms & conditions and is non-refundable.

Amendment Charges

Once a course has been confirmed, amendments will be allowed at the discretion of Language Link and may be liable to an administration charge of up to £50.

Cancellation

If a booking is cancelled, we must be notified in writing at the earliest opportunity. All cancellations will be acknowledged in writing and the following terms apply:

  • Cancel 30 days or more before the course begins = 50% of the course fees will be refunded
  • Cancel 29 days or fewer before the course begins, or once the course has started = no refund of fees

NB: The deposit payment is non-refundable.

Acceptance Conditions

We accept students on the assumption that they are of sound health and are aged 7 to 17 at the time of their programme at our School.

Injury/Loss

We do not accept responsibility for personal injury or for loss or damage to personal property unless it is due to the negligence of Language Link or its employees. Any valuables should be left at home. We do not accept responsibility for events outside the control of the company such as strikes, bad weather, war, transportation delays, sickness or quarantine.

Behaviour

The admission of a student is conditional on acceptance of these terms & conditions and of the rules published by the school; these will be sent out along with the joining documentation. While every effort will be made to contact parents or guardians regarding serious breaches of school rules, the centre manager may at his/her discretion impose sanctions, including suspension or expulsion. We reserve the right to dismiss any student whose standard of conduct is unsatisfactory at the discretion of the centre manager. There will be no refund of fees in cases of expulsion and all costs incurred due to this must be paid for by the student.

Damage

All students are liable for loss or damage to school property for which they are responsible. A deduction will be made from students’ pocket money or an invoice sent to parents for any loss or damage incurred.

Airport Transfers

We provide a meet & greet service together with transportation to the school to/from various London airports between 09.00 and 17.00 on designated arrival and departure days.

Health & Safety

We operate a rigorous Health & Safety policy. Staff are all CRB checked and undergo a period of training & orientation prior to students arriving at the school. All the relevant student: teacher ratios are adhered to as set out by the Children’s Act and relevant governing bodies of language travel courses such as English UK.

Medical

The schools have fully qualified first aiders and nursing staff. There are also excellent links with local accident & emergency facilities.

We cannot accept students on the younger learner programme unless the parents have signed and returned the completed medical and personal information form. You must inform the school of any specific information which is not included on the form but which applies to the student. Any medication that a student brings with them must be labelled in English and handed over to a member of staff on arrival.

We regret that any student arriving with a serious medical condition not previously reported on the medical and personal information form may be sent home with no refund of fees.

Insurance

All students must be covered by travel insurance in order to attend our Junior Courses.

The Endsleigh insurance policy includes:

  • Medical & associated expenses
  • Cancellation/curtailment
  • Personal accident, baggage, clothes & personal effects (excluding electrical gadgets, such as iPods/iPads, laptops, mobile phones etc)
  • Loss of money
  • Travel delay

A summary of cover will be sent to the student together with the booking confirmation.

Force Majeure

In the event of ‘force majeure’ such as fire, flooding, infectious diseases and other events outside the company’s reasonable control which may cause the closure of the school, no refund of fees will be made to students, except at the school’s discretion in exceptional circumstances.

Disclaimer

All details are published in good faith as of September 2015. All programmes are subject to availability and minimum class numbers. We reserve the right to alter any particulars such as fees at the discretion of the company. We reserve the right to cancel any course or close the school for whatever reason. Should this be necessary, we shall offer either a full refund or an alternative course for the same value.
